前言良好的書信溝通,可以圓滿達成溝通的目的,寫的不恰當,對方甚至不予理睬、不回信。書信聯絡應力求簡明扼要地傳達信息,用字遣詞須注意到禮貌並要讓對方感受到有被尊重的感覺。以下這一則最近發生的事情,充分說明「良好書信溝通的重要性」。

經過那天友人到台中某家樂器行挑選低音大提琴,眼尖的樂器行老闆看到友人手中拿的那一把弓就說:「做這把弓的法國製弓師已經封刀退休了,所以這把弓很值錢」。

好景不常,正當友人慶幸自己擁有一把好弓時,這把弓在她練琴時竟然斷裂,友人非常傷心,遍訪臺灣幾位修弓的師,他們都說:「有辦法修,但是這把弓已失去它原有的價值」,不夠他們也透露一個重要的訊息:「這把弓的木材紋路不太對」。

因這句話,本人乃跟友人建議設法和製作這把弓的法國製弓師聯絡,看他是否能幫忙處理。但是友人樂團的同事認為這把弓已經買了十年,保固期已過,不應該再去打擾這位已經退休的長者。不夠我認為一位製弓大師應該會為他所製作的弓負責,不會坐視有瑕疵的弓在外流通,於是本人就幫友人寫一封e-mail給這位大師,想不到兩天之後就接到他的回信,他答應會處理損害的弓,並要我們將舊弓寄給他。弓寄給他之後兩星期,果然收到他寄回來修好的弓,弓的背桿已換新。並附了一張他簽名的證書證明價值2500歐元(合台幣約12) 的這支弓是其作品。以下是雙方聯絡所寫的e-mail

 

1. 給法國製弓師的信

Dear Mr. Jxxxx Axxxxxx,

My name is XXXX, a double bass player from XXXX Symphony Orchestra. In 1999, I bought a double bass bow you made through XXX. Generallyspeaking, the bow worked great and I loved it very much. Unfortunately,while I was tightening the screw the other day, I heard a strange sound and found cracks at the end opposite to the screw side of the bow (Please refer to the picture attached. I already circle the area that has cracks.).

 

I have showed the bow to several guys to see if they can fix it, but they, including XXXX (you used to visit him when you were in Taiwan) and Mr.XXXX all suggest that I talk to you to invite your advice. Would you please give us your thoughts on how to save the damaged bow?

2. 法國製弓師的法文回信

Bonjour,

Je suis désolé mais je vais vous répondre en français .J’ai vu les  photos et vous êtes pas responsable de ce problème .Je vous propose de demander à  Mr XXXXX vous prêter un archet pendant quelque temps et vous m’enverrez votre archet pour que je retaille une baguette ,bien sur gratuitement .Je m’engage à vous le faire le plus rapidement possible.

J’attends de vos nouvelles et à bientôt.

3. 回法國製弓師的信

Dear Mr. Jxxxx Axxxxxx,

Thank you very much for your e-mail.

1. Re; my package to you: I am sending the damaged bow to you by speedpost on Aug. 12. You should be able to receive it very soon. Please confirm your receipt of the package when it arrives. Thank you.

 2. Re; bow value: Please note that I put an artificially low value onthe invoice of the package for customs purposes. If the invoice shows theactualvalue, it would take longer timeto clearcustoms and import tax maybe levied.   

3. Re; the tiny crack on the bow: I put a small sticker with an arrow markon it on the bow to show you where the crack is. The crack is so tiny that it is not easy to find, but you can locate it easily by finger touch while tightening the screw.  

4. Re; your package to me: Please ship it freight collect (it means the consignee/I will pay the freight charges, not you) by Federal Express, UPS, DHL or whatever express company, but not Post Office because theydon't offer freight collect service.  

5. Re; certificate: Would you please enclose a certificate inside the package which proves that the bow is made by you. Thank you.  

6. Re; my mailing address: Because your printer should be unable to print Chinese characters, I purposely enclose two pieces of paper printed with my mailing address both in English and Chinese in my package to you. Please use them to ship your package to me.

7. Re; typhoon: As you may know from the media, there was a supertyphoon hitting Taiwan last week which brought record levels of rain. The heavy rain has caused floods in many parts of the island that has swallowed up a considerable number of people’s lives and homes. Some of them are still trapped in the mountainous areas waiting for rescue a week after the typhoon. But you may feel relieved a little bit and needn't worry about the well-being of your friends in Taiwan if they live in central or northern part of Taiwan.

4. 製弓師以英文回信通知弓已完成   

Hello  Ms. XXXX,

I finished your bow and I'll send you it at this end of week. I will send you your certificate by mail and your package probably by Fedex . Thank you for your information about the people I met in Taiwan and I hope they do not suffer too much damage with the typhoon. Thank you for giving me your impressions when you receive your bow.
